Controller
BinNumbers GmbH, Schweidlgasse 34/3/19, 1020 Vienna, Austria Company register number FN 660472 h, Commercial Court Vienna Email: office@binnumbers.at · Phone: +43 677 64409213 We are the controller within the meaning of the General Data Protection Regulation (GDPR) for the processing described here.
Visiting this website
When you open a page, our web server records technically necessary data: IP address, date and time, the page requested and the browser type. We use them to deliver the site and keep it secure (Art. 6(1)(f) GDPR) and delete them after 14 days. Fonts are served from our own server, so no data goes to font providers. Your browser stores three things the site needs: the theme you chose (light or dark), the choice you make in the cookie banner (kept for about 6 months) and, once you open the chat, a random session token so the conversation can continue. This is strictly necessary storage, so no consent is required (Section 165(3) Telecommunications Act 2021). Only if you agree in the cookie banner do we load a measurement tag from Google (see “Measurement and advertising (Google)”). Its cookies are not necessary and need your consent. Without your consent, none of it is loaded.
Chat assistant
The assistant on this site is an AI. When you write to it, we process your messages, the language, the page you are on and a random session ID. Your IP address is stored only as a salted hash, to limit abuse. Purpose: answering your questions and preparing a call booking. Legal basis: steps taken at your request before entering into a contract (Art. 6(1)(b) GDPR) and our interest in answering enquiries efficiently (Art. 6(1)(f) GDPR). To write its answers, the assistant uses an AI model from Anthropic PBC (USA). Your messages are sent to Anthropic for this purpose; Anthropic acts as our processor. The assistant does not take decisions with legal effect on you. Please do not enter sensitive data in the chat (health data, payment card numbers, passwords). Chats are deleted 30 days after the last message. We keep technical usage records (number of processed tokens and cost, without message texts) for statistics.
Booking a free call
To book a call you give your name, email address and preferred time, and optionally topics of interest and a short note. We use them to arrange and hold the call and to send you the confirmation (Art. 6(1)(b) GDPR). The booking is stored in our database and entered in our Microsoft 365 calendar together with a Microsoft Teams meeting link. The confirmation email is sent through Microsoft 365. You can join the call in your browser without a Teams account. Microsoft acts as our processor; for the meeting itself Microsoft's own privacy statement applies. The personal data of a booking is erased from our system 30 days after the appointment, and the calendar entry is deleted then as well. If you become a client, contract and invoice data are kept as long as the law requires (generally 7 years under Austrian tax law).
Contact form
If you use the contact form, we process your name, email address and message to answer you (Art. 6(1)(b) and (f) GDPR). The message is stored in our database. We delete it after 30 days. A hidden spam-protection field and the hashed IP address limit abuse.
Measurement and advertising (Google)
We run ads on Google Search. To see whether a click on an ad leads to a visit of our free-call page, we measure this with the Google tag, but only if you agree in the cookie banner. Without your consent the tag is not loaded and nothing is sent to Google. If you agree, the following is processed: the ad click identifier, your IP address, device and browser data, the pages you view after the click and cookie identifiers. The provider is Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland; data may also be passed on to Google LLC (USA). Purpose: measuring how well our ads work. We build no profiles of you ourselves and do not sell data. Legal basis: your consent (Art. 6(1)(a) GDPR and Section 165(3) Telecommunications Act 2021). You can withdraw your consent at any time with effect for the future, using the link “Cookie settings” in the footer. If you decline or withdraw, you suffer no disadvantage and the site works fully.
Recipients and service providers
We use these service providers, who process data on our behalf under data processing agreements: – Hosting provider in the Netherlands (EU): operation of the server. – Microsoft (Microsoft 365): calendar, email and Teams meetings. – Anthropic (USA): AI model for the chat assistant. – Google Ireland Limited: measurement of our ads, only with your consent. We do not sell data.
Transfers outside the EU
Anthropic and Google LLC may process data outside the EU/EEA, in particular in the USA. Where the recipient is certified under the EU-US Data Privacy Framework, the transfer rests on the adequacy decision (Art. 45 GDPR); where there is no adequacy decision, it rests on the EU standard contractual clauses (Art. 46 GDPR).
How long we keep data
